Registration Terms and Conditions

Organization of the 47th FEBS Congress

FEBS has appointed The French Society for Biochemistry and Molecular Biology (SFBBM) to host the 47th FEBS Congress ("FEBS 2023"; the "Congress"), supported by the Congress Secretariat, MCI-France. MCI-France is responsible for organizational aspects of the Congress for participants. On registering for the event, participants (also referred to as "you") are entering an agreement with MCI-France. By registering to the Congress, you are indicating your acceptance to the terms and conditions set out below.

Registration Fee

All participants must register via the online registration system. Registration Fees for different categories of Congress participant are shown on the Registration page here.

Registration Fee for Participants includes:

  • Abstract handling
  • Admission to all scientific sessions
  • Entrance to poster & exhibition area
  • Lunches and coffee breaks from 8-11 July 
  • Name badge, and PDF programme booklet available online and on the Congress application 
  • Invitation to Welcome Reception

Registration Fee for Accompanying Persons includes:

  • Entrance to poster & exhibition area
  • Invitation to Welcome Reception

Travel and accommodation costs are not covered by the registration fee.

Methods of Payment

Payments can be made via credit card or bank transfer. Payment must be made before the stated deadline that applies to your application. Payments must be made in euros; no other currency will be accepted.

Payment via Credit Card

Visa or Mastercard are accepted for credit card payments, which can be made online during the registration process. Confirmation of your credit card payment, along with registration confirmation, will be made available immediately after payment by an on-screen message and via an email. If you do not receive such a confirmation, nor a payment failure notice, please contact the Congress Secretariat.

Payment via Bank Transfer

All fees should be paid in EUR (€), free of all bank charges. Participant’s Name/Last Name and Congress Name (as "FEBS 2023") must be indicated on the transaction receipt of the bank transfer. Following the payment, receipt of the transaction must be sent to the Congress Secretariat. If you do not receive confirmation of your payment within 14 business days after the payment, please contact the Congress Secretariat. Bank transfer should be made to the following:

Payments by bank transfer will only be possible until 8 June 2023. After this date, registrations can only be made with credit card payment. No cash payments can be accepted at the venue registration desk.

Registration Cancellation & Refund Policy

All registration cancellation requests should be sent to the Congress Secretariat in writing by e-mail to registration-febs2023@wearemci.com. For registration cancellation requests received by MCI-France:

  • Until 14 April 2023, for FEBS bursary, SFBBM bursary and Sprinzl scheme registrants only – a full registration fee refund will be given if requested if the registrant fulfilled the eligibility criteria and is not accepted into one of these support schemes. 
  • Until 14 April 2023 – a 50 EUR administrative fee will be deducted from all other registration fee refunds. 
  • From 15 April to 07 June 2023 – 50% of the registration fees will be refunded.
  • All refunds will be processed within 30 days after the Congress ends.   
  • From 08 June 2023 – no refund will be given.

Cancellation of other bookable items:

  • Until 7 June 2023 – a 20 EUR administrative fee will be deducted from all refunds. 
  • From 8 June 2023 – no refund will be given.

Change in registered name:

  • From 08 June 2023 – a name change will be considered as a modification and will be charged a 30 EUR administrative fee.

Travel Insurance

You must not travel to or attend the Congress if you are displaying symptoms of COVID-19 or are required to place yourself in quarantine. You should seek and follow the advice of your government before booking travel and accommodation for the Congress and before travelling to the event. You are solely responsible for making your own appropriate travel and other insurance arrangements before booking travel and accommodation for the Congress. FEBS, SFBBM and MCI-France shall not be liable to you for any losses incurred, including as a result of travel restrictions being placed against you or against certain countries due to COVID-19. By accepting these terms and conditions, you agree to abide by any COVID safety regulations in France, Tours, hotel accommodation and the Congress venue.

Modification and Cancellation of the Congress

The Congress organizers are intending to run the Congress as a physical event, but if the organizers decide at any time that it is not possible to continue with a physical event due to pandemic or other such restrictions, the Congress may be held wholly or partly as an online meeting. The Congress organizers reserve the right to modify the Congress programme, which is published as an indication only.

If the physical and virtual Congress is cancelled we will refund you the registration fee. We will only cancel the whole Congress as a result of circumstances outside of our reasonable control, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire or closure of airports.

Neither FEBS nor SFBBM nor MCI-France shall be held liable for any other costs or losses incurred.

VISA

Citizens of other countries may need a visa. If you do, please contact your travel agent or the nearest France diplomatic authorities for further information. If you should need a visa, please apply early enough to allow sufficient handling time to the authorities.

Please note that the VISA invitation letter will only be sent to participants who have paid their reservation registration fee.

Please note that FEBS, SFBBM and MCI will not be able to contact or intervene with any Embassy or Consulate office on behalf of a registrant. The invitation letter does not financially or legally obligate FEBS, SFBBM nor MCI in any way. All expenses incurred in relation to the event and to obtaining a visa are the sole responsibility of the registrant. FEBS, SFBBM and MCI do not accept any responsibility for registration, travel, accommodation and/or other costs incurred due to the rejection of a registrant’s visa application.

Disclaimer

The Congress organizers take all reasonable care in making arrangements, and shall follow all available guidance from the French government in relation to making the Congress COVID-19 safe. The Congress organizers shall in no event be liable for acts or omissions in the event of injury, damage, loss, accident, delay or irregularity of any kind whatsoever during arrangements organized through contractors.

In the absence of any negligence or other breach of duty by FEBS, SFBBM or MCI-France, these parties shall not be responsible for any bodily injury, illness, death or property damages (including theft) sustained by participants during the Congress.

In any event, neither FEBS nor SFBBM nor MCI-France accept liability for damages or costs in the event of bodily injury, death, property damage, illness, disruption to travel plans and costs incurred as a result of events outside of the reasonable control of FEBS, SFBBM and MCI-France, including (but not limited to) pandemic, natural disaster, adverse weather conditions, fire or closure of airports.

Data Privacy and Security by MCI-France

FEBS acts as data controller and MCI, organiser of the event, as subcontractor on behalf of FEBS. MCI-France, which manages your registration payments and queries, takes your privacy very seriously. Governing Law

Any dispute resulting from the above terms and conditions will be subject to French law, and by accepting these terms you are submitting yourself to the exclusive jurisdiction of the courts of France.
